RECEPTIONIST/ADMINISTRATIVE ASSISTANT

POSITION SUMMARY:

This position handles all front desk responsibilities and is responsible for greeting and assisting all corporate visitors, operating the telephone switchboard, and performing various administrative duties such as coordinating incoming and outgoing mailings, ordering office supplies and handling special projects as requested.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Answer incoming telephone calls in a professional and friendly manner, determine purpose of call, and forward to appropriate personnel or department.
  • Review and distribute all incoming efaxes to main fax numbers.
  • Greet vendors, customers, job applicants, and other visitors in a courteous and helpful manner and assure that they are escorted to the proper office.
  • Order and maintain all office, kitchen and printer supplies.  Keep supply room clean and organized.
  • Manage and schedule maintenance for office equipment and suite.
  • Receive, sort and route incoming mail and packages.  Manage outgoing mail, overnight deliveries and messenger packages.  Ensure postage machine is in working order and has sufficient postage balance.
  • Place catering orders for meetings.
  • Keep common areas such as kitchen and conference room presentable.  This includes loading and unloading dishwasher daily and cleaning refrigerators and defrosting ice maker monthly.
  • Provide general administrative support such as updating internal phone lists, composing correspondence, etc.
  • Work with all departments on special projects such as; e-mail blasts and other mass communications to customers and/or potential customers, creating and updating various documentation in Word, Excel, Power Point, and Visio., data entry and audits, etc.
  • Assist HR with new hires by preparing cubicles, taking new hire pictures, etc.  Assist in maintaining and updating Access One SharePoint site.

JOB REQUIREMENTS: 

Education:
Bachelor’s Degree from four-year college or university preferred, but not required OR
An equivalent combination of education and experience

Experience:
1-5 years

Knowledge, Skills and Abilities:

  • Proficiency with Microsoft Office products; preferably advanced Word skills.
  • Excellent customer service skills.  Must be able to respond promptly to customer needs and requests for service and assistance.
  • Excellent communication skills.  Ability to speak and write properly, professionally, clearly and informatively.  Listens and gets clarification, and responds well to questions.
  • Solid organizational skills.  Ability to plan and use time efficiently as well as manage competing demands.
  • Able to perform work independently and be willing to ask for and offer assistance as time permits.
  • Ability to arrive to work regularly and on -time.
